WhatsApp Invoicing: Why 98% of Your Invoices Get Opened
You spend time creating a professional invoice, hit send, and then… nothing. The client never opens the email. The invoice sits in a spam folder or gets buried under 50 other messages. Sound familiar?
There is a better channel — one that over 93% of South African internet users already check daily.
WhatsApp Dominates South Africa
The numbers speak for themselves:
- 93% to 96% of South African internet users are on the platform — making it the most popular app in the country, ahead of Facebook, YouTube, and Instagram.
- South Africa is projected to reach 28 million WhatsApp users by 2026.
- The average South African spends nearly 25 hours per month on the messaging app.
- 83% of active users open the app every single day.
WhatsApp vs Email: The Open Rate Gap
98%
Messaging open rate
15–25%
Email open rate
That is a 4 to 5x difference in visibility. When you send an invoice via the messaging app, your client sees it within minutes — not days. And because these messages feel personal and immediate, recipients are far more likely to take action.
Is It Legal to Send Invoices via WhatsApp in South Africa?
Yes. The Electronic Communications and Transactions Act (ECTA, Act 25 of 2002) provides the legal framework:
- Electronic documents have the same legal status as paper documents under ECTA.
- ECTA applies to any form of electronic communication — email, SMS, internet, and by extension, WhatsApp.
- Electronic evidence is not excluded merely because it is in digital form — invoices sent via messaging apps can serve as legal evidence.
- The invoice itself (typically a PDF attachment) must meet all SARS requirements under Section 20 of the VAT Act.
Important
Keep records of all sent invoices for at least 5 years (7 years under the Companies Act). The delivery method does not change the content requirements — your invoice must still contain all mandatory fields.
Why WhatsApp Invoicing Gets You Paid Faster
- Instant delivery. Your invoice arrives in the client's pocket within seconds — no spam filters, no “check your spam folder” conversations.
- Read receipts. You know exactly when the client has seen the invoice. No more guessing whether it was received.
- One-tap payment. Include a payment link alongside the invoice PDF. The client taps the link, pays, and you are done.
- Conversational follow-up. If the client has a question, they reply right there in the chat. No formal email threads or phone tag.
- Mobile-first. Most South African business communication already happens on this channel. You are meeting clients where they already are.
How Paid It Sends Invoices via WhatsApp
Paid It uses the official Meta Cloud API (not unofficial hacks or personal accounts) to deliver invoices through the platform. The process is simple:
- Create your invoice in Paid It as usual.
- Click Send via WhatsApp. Paid It generates a SARS-compliant PDF and delivers it directly to your client's messaging inbox.
- Your client receives the invoice PDF along with a payment link — no app download required on their side.
